Contract Coordinator / Office Administrator

Goodwyn Mills Cawood (GMC) is one of the largest privately-held architecture and engineering firms in the Southeast.

GMC is actively seeking a Contract Coordinator / Office Administrator located in our Huntsville, AL office.  This role will provide contract submittal support and administrative support to the office and its staff. It is important for this role to have a positive outlook and possess a problem-solving perspective to meet needs quickly. Honesty, integrity, and dependability are also necessary qualities for this position.

Responsibilities include, but are not limited to:

  • Working on American Institute of Architects contractual project documents via an online portal
  • Help with proposal letters
  • Help with bid advertisements
  • Processing Architecture submittals via an online portal  
  • Support on Construction Administration
  • Keeping meeting minutes and request for information logs
  • Help track down engineering signatures as needed for contracts
  • Manage the phone system
  • Receive visitors and maintain an orderly appearance to the reception area
  • Order and maintain office equipment and supplies (parking passes, office keys, pool car maintenance, etc.)
  • Oversee and execute office systems (room reservations, food services, etc.)
  • Submit and keep record of maintenance requests
  • Organize and submit expense reports as needed
  • Record and renew staff licenses and memberships
  • Assistance with new hires as required
  • Compose, edit and revise a variety of documents
  • Arrange travel as necessary
  • Assist Engineering / Architecture Administrator as needed
  • Other tasks assigned as needed
  • Minimum of 3 years previous experience in contracts and/or administration

  • Must be detail-oriented and a self-starter
  • Strong written and verbal skills
  • Ability to multi-task and work under pressure
  • Proven critical thinking and problem-solving abilities
  • Adaptable and efficient
  • Demonstrates the ability to prioritize work
  • Experience using Microsoft Office, emphasis in Word and Excel
  • Experience using or willingness to learn Bluebeam and/or Adobe

Your work time will typically be divided up by supporting the below groups 50% Architecture, 30% Administration and 20% Engineering  

Some minimum travel may be required.
